SmartTime Sync is unique
SmartTime is unique among all productivity apps because it syncs both tasks and events to the iPhone calendar. No other app does that. But for us, it’s just natural, because Tasks and Events are the two most fundamental components of your day.
SmartTime 6 is designed specifically to work with iOS6. It takes advantage of new features in iOS6, including the ability to create new calendars on your iPhone calendar from within SmartTime. That means you can create new Projects in SmartTime, and when you sync with your iPhone calendar, new calendars are created with matching names. You don’t have to do anything. But there are a few things to be aware of….

Automatic Mapping
SmartTime automatically maps with your iPhone calendar. For example, let’s say you already have two calendars in your iPhone calendar called “Work” and “Play.” And let’s say you already have two Projects in SmartTime called ” Work” and “Family.” After the first time you sync, you will have three calendars in each called “Work,” “Play” and “Family.” What’s more, the data that was in your iPhone “Work” calendar will merge with the data that is in your SmartTime “Work” project.
Automatic Syncing
Each time you start SmartTime, it performs a background sync with your iPhone calendar. This is a two-way sync. This means that any changes that you have made in your iPhone calendar will be updated to SmartTime each time you start it.
When you are in SmartTime, any time you make a change to an Event or a Task, SmartTime performs a one-way sync to your iPhone calendar, to update it.
Manual Syncing
Sometimes, changes can be made to your iPhone calendar even when you are using SmartTime. For example, someone else makes a change to one of your connected calendars. To keep these up to date, it is always a good idea to perform a manual (two-way) sync every now and then, or just before you close the app for the day.
Tasks and Events
Because SmartTime uniquely finds time for your Tasks inside your SmartTime calendar, it can also place those same tasks inside your iPhone calendar. In SmartTime, it is easy to tell the difference between Tasks and Events in the differnt views. In your iPhone calendar, Tasks have a little ☐ next to them. And Tasks that have been marked “Done”, have this mark: ☑.
Editing Events
If you edit an Event in your iPhone calendar (or in an off-line calendar that syncs with your iPhone calendard, such as iCal, Google, Outlook or iCloud), then you will see that change the next time you sync with SmartTime.
Editing Tasks
If you edit a Task in your iPhone calendar (or in an off-line calendar), those changes will also be effected next time you sync with SmartTime.
However, SmartTime controls the location of Tasks within the calendar. So if you change the location of a Task (edit its date or start time), then the next time you sync with SmartTime, that Task will likely go back to its original location, or SmartTime will find another time for it!
Other Calendars
If you sync other calendars to your iPhone calendar – such as iCal, iCloud, Google or Exchange – those calendars will also sync to SmartTime via your iPhone calendar.
If you do not wish to have tasks integrated into your other calendars, you can turn this feature off in Settings.
Mapping with Other Calendars
SmartTime can automatically create new calendars inside your iPhone calendar. However when you sync your iPhone calendar with other third party calendars, it may or may not automatically create those same calendar names in your other calendars. Try it out and see.
If your iPhone calendar cannot create a new calendar name in your Other Calendar, then simply create that name in your other calendar, and sync it to your iPhone calendar.
Bottom line: SmartTime syncs with each and every calendar that is in your iPhone calendar!
Synchronizing with Reminders
New in SmartTime 6, you can synchronize tasks from the iPhone’s “Reminders” app and integrate them directly into the SmartTime calendar and timeline. A few notes:
- If you wish to sync Reminders, we suggest that you disable syncing tasks with the iPhone calendar. In SmartTime, go to Settings -> Synchronization -> iPhone Calendar and choose “Events only.”
- Make sure that you have Reminder sync enabled in your iPhone Settings. Just go to Settings -> Privacy -> Reminders and switch SmartTime to “ON”.
- When you sync Reminders with SmartTime, they are converted into SmartTime Tasks and are given the default duration of all new tasks – which is 30 minutes (unless you changed that in Settings). You may wish to go through your sync’d Reminders items and revise those durations upwards or downwards, so that SmartTime can more efficiently schedule your tasks into the free time in your schedule!
