Adding a New Task or Event

Creating a new Task or Event is so easy, you can do it in just a few taps. Of course, there's a lot of detail behind each item that SmartTime uses for prioritizing, but if you are in a hurry, the defaults that you selected in Settings are automatically used. Don't worry, you can go edit later, just double-tap any Task or Event.

SmartTime allows you to create either Tasks or Events. The beauty of our design is that Tasks (such as to-do's, shopping lists, etc) can intermingle with Events (appointments, meetings, etc) in the same View. In fact, SmartTime first looks at all of your Events, then finds times for your tasks. Now that's Smart!

SmartTime supports many different kinds of Tasks and Events. Here is a quick summary. You can also jump directly to the sections below for creating Tasks or Events.

Tasks

  • Standard Tasks with no particular start or due date. "Mow the Lawn."
  • Tasks with Deadlines. "Mow the Lawn by Sunday evening."
  • Tasks with Horizons. "Mow the Lawn some time during the Weekend."

Events

  • One-time Events with a fixed time. "Mow the Lawn at 3:00 on Sunday afternoon."
  • Repeating Events with fixed times. "Mow the Lawn every Sunday at 3pm."
  • All Day Events. "National Lawn mowing Day" or "National Lawn mowing Year."

Adding a New Task

  • Tap the "Title" area to pull up the keyboard and type the name of a Task. that's all you have to do! You're done!
  • Or you can tap on the "More" arrow for easy action icons (see Video).
  • It helps to specify a task Duration, so SmartTime can find the time for you. We provide three quick options or you can tap on the "More" button to be more specific.
  • Specify whether you want to do the task during Work Time or Home Time. You defined these in Settings.
  • Choose which Project you want your Task to be associated with. You can change the names of your Projects in Settings. The default is the first one.
  • Add any notes that you would like to make. You can use the Cut/Paste feature of the new iPhone OS3.

 

  • If you tapped the "More" icon in the Title field, you will see this view.
  • Just tap on an Action Icon to insert the name of the action. No keyboard required!
  • (Optional) Then tap on "Who" to pull up your iPhone Contacts List. Select a name. If the contact has an address then it will automatically appear in the "Where" field.
  • You can also type or Paste in a different address.
  • SmartTime is Google Maps aware. You can use the Actions bar to map any Task or Event that has an address.
  • In the main "Add Tasks" view, you can select from one of the three quick 'duration' buttons to quickly estimate the length of the task. But if yo want to be more specific, tap on the "More" button and you will see this view.
  • Select the duration in convenient 5-minute increments.
  • Or tap on one of the "All Day" options.
  • Select a Project to associate a Task or Event to.
  • You can have specific work-related projects, or you can create life-balance 'projects' to track how well you are distributing your Work, Family, Personal, Community, Recreation, and Relationship needs.
  • Horizons is one of the most flexible features of SmartTime.
  • The "Due Start" of any Task is automatically created by SmartTime. However, if you want to specify a "window" for completing the task in, just tap on "Due Start" and select a different date and time from the sc roller.
  • Likewise, you can create a Deadline for your task.
  • You don't need either. Or you can have a Deadline without a specified Due Start.
  • Or you can have both. Up to you!

Adding a New Event
  • Events are slightly different from Tasks because they have specific start and end times, and can repeat.
  • When creating a new item, just select the "Event" button at the top.
  • The default start time will be the next 5-minute increment from now; the default duration is one hour.
  • Tap on "When / Repeat" field to pull up the Event Time view for editing.
  • You can also have an All Day Event such as a birthday or holiday. All Day Events are different from regular Events because they do not effect the logic of a Task. You can schedule Tasks all day during an All Day Event, but you cannot schedule any Tasks during an Event that you have scheduled to occupy the entire day.
  • Here is where you specify the Start and End Times of an Event.
  • If you would like the Event to repeat, just tap on the Repeat field.
  • SmartTime supports the same Repeat types as Google Calendar.
  • This includes Daily, Weekly, Two types of Monthly (day and date), and Yearly.
  • You can have an Event repeat every Monday and Wednesday by selecting those two days in the Weekly Repeat, as shown here.
  • You can also have an All Day Event repeat. An example is a birthday or a public holiday.

Adding an Alert to an Event

SmartTime integrates with Google Calendar by offering you the same alert settings as in your Google Calendar, but you can create and control them from within SmartTime. That's what we mean by integration.

 

When adding an Event, just tap on the "Alerts" field as shown here.

You have a choice of three alert-types: SMS, Pop-up in Google Calendar, or Email.

  • SMS is the most direct way to receive alerts. They will go directly to your iPhone.
  • Caution: Using SMS messaging can cost you extra $, depending on your text messaging plan.
  • Note: Make sure your phone is set up to receive text messages from Google Calendar. Go to Calendar -> Settings -> Mobile Setup.

After you create the Event, synchronize with Google Calendar.

  • The new Event in Google Calendar should have an "alert" icon next to the time, as shown here.
  • You can also check the specific alert settings by editing the Event in Google Calendar.
